Without Standard Procedures, Quality Depends on Who Shows Up

  • Tribal knowledge retires with the technician who carries it.
    The 20-year maintenance tech who knows the exact sequence for a bearing change on Press 7 will eventually retire, transfer, or be unavailable on the night a critical failure happens. When that knowledge isn't captured in a versioned procedure, it walks out the door... and the next technician on Press 7 improvises.
  • Binder-based SOPs are never current and never accessible when needed.
    The maintenance binder in the supervisor's office is always one revision behind. The SOP (Standard Operating Procedure) for the hydraulic system was updated after the incident in March... but only the morning crew knows about the change, because the update was a handwritten note on page 14. Procedures not accessible at the point of execution aren't followed.
  • Procedure changes aren't versioned or approved.
    When a maintenance manager updates a repair procedure after identifying a better method, the old procedure continues being used by technicians who haven't seen the update. Without a version control system with a deployment approval gate, procedure updates are just suggestions... not enforced changes.
  • Reference materials aren't available at the point of execution.
    Wiring diagrams, exploded-view part diagrams, and torque specification tables are stored in shared drives or filing cabinets... not on the technician's phone when they're under a press at 2am. Reference material that isn't at the point of execution gets used rarely enough that technicians stop expecting it to be there.

Template Authoring

Work Template Entity
Each template is a named procedure linked to asset types and maintenance categories. The template defines what type of work it covers (Emergency Repair, Preventive Maintenance, Inspection, Installation) and which assets and failure modes it applies to.
Versioned Template Revisions
Every update to a template creates a new revision with its own approval state. Publishing a new revision doesn't delete the previous approved version... the previous version remains accessible for audit purposes. Technicians always work from the current approved revision without needing to know which version number it is.
Task Steps with Classification Flags
Break procedures into individual numbered steps with classification flags: Safety (LOTO/lockout steps), Inspection (diagnostic steps), Repair (corrective steps), and Verification (confirmation steps). Classification drives how task completion is recorded and reviewed in the work order.
Per-Task Reference Media
Attach reference photos and videos to individual task steps. A torque spec photo attached to Step 3 ("Torque fasteners to spec") appears in a lightbox when the technician taps the step on mobile. Reference media is stored at the task level so the right image appears for the right step without the technician hunting through an attachment list.
Version-Level Document Attachments
Attach manuals, wiring diagrams, SDS (Safety Data Sheet) documents, and drawings at the template version level. Documents are available to the technician from the work order detail page without navigating to a separate system. Revision-specific documents update automatically when a new approved version is deployed.
Link an Existing Controlled Document
A searchable picker on the version editor attaches a document already under control to the template version, rather than uploading a second copy of it that will drift. One document, one revision chain, referenced from wherever it is needed.
Standard Work Block
A read-only Standard Work text block on the template version shows on both Work Order Create and Work Order Details, so the framing a planner needs before raising the job is on the screen where the job is raised.
Document Control Integration
Standard Work Templates sit alongside ProAlert's Document Control module. SOPs, control plans, work instructions, and SDS documents run through their own approval queue and revision chain, and are shown to operators at the point of execution... and a run will not start when a required one is missing or unacknowledged.

Every procedure carries a document number and a revision. Corrective, preventive and calibration work sit in one library, each template resolving against the asset category or failure mode it applies to, so the right procedure lands on the work order without anyone choosing it from a list. Press Bearing Replacement is at revision 2: the previous revision is superseded rather than deleted, which is the difference between version control and overwriting a file.

Approval and Deployment Workflow

Templates are not available for use until they have passed through the configured approval chain. The approval gate ensures procedures are reviewed and authorized before any technician works from them.

StageWhat Happens
Draft Maintenance engineer authors the template revision with steps, media, and documents. Draft status... not deployable, not visible on work orders. Author can modify freely without approval impact.
Submitted, then Checked The author submits the revision and a separate Checker reviews it. The review screen carries three role-gated signature rows... Author, Checker and Approver... and each role requires a maintenance prerequisite, so the sign-off cannot be collected from whoever happens to be logged in. A reviewer can request changes instead, which returns the revision to Draft.
Approved (Active) The Approver signs off. The revision becomes Active and immutable, and it is immediately available for work order assignment. The previous active revision is retired and marked superseded... still accessible for audit review but no longer used for new work orders.
Task Materialization When a work order is created that matches the template's asset type and failure mode criteria, the template's task steps are materialized directly onto the work order. The technician opens the work order on mobile and sees the complete procedure... no manual copy, no template lookup required.

Three-Level Resolver: When a work order is created, the resolver selects the best matching template based on a three-level hierarchy: exact asset match (highest priority), asset type match, and failure mode and category match (fallback). This means a template written for "Press Type A - Hydraulic Cylinder Failure" is applied to all Press Type A hydraulic failures without requiring a separate template per physical press.

This is the same document as the one in the library above, landed on a job. Press Bearing Replacement, SWI-MECH-101 at revision 2, and nobody copied it there... the nine steps materialized onto the work order when it was raised. Five are signed off with a name and a time, the sixth is open, and both the procedure text and the step list name the revision they came from. That last part is what an auditor asks for and what a binder cannot answer: not which procedure exists today, but which revision governed this job on this day.
